The protection of your personal data is important for Woodz Lodges BV, and we comply with the applicable laws and regulations, including the GDPR. Hereafter, we clarify how we handle your personal data.

If you contact us because you want to exercise one of your rights (see point 7), we ask you to clearly indicate which right you want to exercise. Please be as specific as possible when exercising your rights.

In the context of marketing advice, consultancy management (including organizing events), and organizing performances and training, Woodz Lodges BV also processes personal data as a data processor. This is dealt with in the agreements between Woodz Lodges BV and the data controllers. This is not part of the current policy.

2.    What personal data do we process?

Depending on your capacity, we collect the following personal data:

From customers:

  • General identification data (such as name, salutation, title/function, address, mobile and/or telephone number, email, assigned identification data);
  • Financial identification data (such as identification and bank account numbers);
  • Financial means (such as assets) and solvency (based on public data);
  • Financial transactions (such as amounts that the person included in the file must pay and has paid);
  • Compensations;
  • Professional activities (including the nature of the activity, nature of the goods/services used or supplied by the person included in the file, business relationships);
  • Social contacts (in the context of referrals);
  • Use of media and communication means;
  • Memberships (other than professional, political, or union memberships);
  • Agreements and arrangements with Woodz Lodges BV
  • All other personal data that customers lawfully provide to Woodz Lodges BV;

From prospects:

  • General identification data (such as name, salutation, title/function, address, mobile and/or telephone number, email, assigned identification data);
  • Professional activities (including the nature of the activity, nature of the goods/services used or supplied by the person included in the file, business relationships);
  • All other personal data that prospects lawfully provide to Woodz Lodges BV;

From suppliers:

If you provide us with personal data of a third party, such as:

  • Personnel;
  • Freelancers;
  • Directors;
  • Representatives;
  • Customers;
  • Suppliers;

you guarantee to Woodz Lodges BV that:

  • these personal data have been obtained lawfully from the third party and have been lawfully provided to Woodz Lodges BV
  • you provide Woodz Lodges BV with personal data that is up-to-date;
  • you have provided this person with relevant information about the existence and content of this Policy.

3.    Why do we process the personal data (purposes)?

The personal data is processed for the following purposes:

3.1. Execution of the agreement

  • Correct execution of the agreement;
  • Preparation of invoices and invoicing data;
  • Customer service: so that we can assist you quickly in case of questions and/or problems;
  • Sending surveys so that we can improve our services;
  • Conducting credit checks and investigating, preventing, and combating fraud;

3.2. Direct marketing

  • Sending newsletters, offers, promotions, etc. to prospects. You can always unsubscribe via the opt-out in the email;

3.3. Necessary for the functioning of our company

  • Improving our service;
  • Sending newsletters, offers, promotions, etc. to customers. You can always unsubscribe via the opt-out in the email;
  • Preventing abuse or improper use of our services;
  • Keeping personal data as evidence or for the purpose of initiating legal proceedings;
  • Keeping personal data to register presence at/participation in events.

3.4. Compliance with legal obligations

  • Compliance with legal obligations (for example, under anti-money laundering and counter-terrorism legislation);

You are not obliged to share your personal data with us, but if you do not provide the requested personal data, we may not be able to provide you with the desired services and/or products.

4.    Legal basis of the personal data?

The processing of personal data under point 3.1 is based on the performance of the agreement or, at the request of the data subject, on taking measures before the conclusion of the agreement.

The processing of personal data under point 3.2 is based on the explicit consent of the data subject.

The processing of personal data under point 3.3 is based on the legitimate interest of our company (only when the legitimate interest of our company outweighs the interests of the data subjects). The interests were further explained under point 3.3.

The processing of personal data under point 3.4 takes place to comply with legal obligations resting on our company.

5.    With whom do we share the personal data?

We do not provide personal data to third parties unless these parties are contractually linked to Woodz Lodges BV or act on behalf or subcontracting of Woodz Lodges BV.

Of course, we have made agreements with these parties about the protection of your personal data.

We also do not provide personal data to companies outside the European Economic Area unless there is an adequacy decision, appropriate safeguards, binding corporate rules, or transfers referred to in Article 49(1) GDPR.

In legally defined cases, we are obliged to disclose certain personal data to the specified authorities.

6.    How long do we keep the personal data?

We only keep the personal data for as long as necessary for the exercise of the purposes specified above.

Since the retention period depends on the purpose, but also on the type of personal data, the retention periods vary.

7. Your rights

7.1. Right of Access, Rectification, or Erasure

7.1.1. Access

You have the right to access your personal data. Upon request, we will provide you with a copy of the processed personal data.

7.1.2. Rectification

You have the right to correct inaccurate or incomplete personal data.

7.1.3. Erasure

You have the right to ask Woodz Lodges BV to delete your data in the cases specified in Article 17, paragraph 1 of the GDPR, such as if you withdraw your consent or object to processing for direct marketing. Woodz Lodges BV will promptly delete your data unless Article 17, paragraph 3 of the GDPR applies. In such cases, Woodz Lodges BV may not delete your personal data if it is necessary to comply with a legal obligation.

7.2. Right to Restriction of Processing:

You have the right to limit processing in the cases specified in Article 19, paragraph 1, for example, if the accuracy of personal data is contested.

7.3. Right to Data Portability:

You have the right to request or transfer the personal data you provided to Woodz Lodges BV to another company.

7.4. Right to Withdraw Consent:

You have the right to withdraw your consent at any time. The withdrawal of your consent does not affect the lawfulness of processing based on consent before its withdrawal.

7.5. Right to Lodge a Complaint with the Supervisory Authority:

If you disagree with Woodz Lodges BV’s position, have comments about the exercise of your rights, or believe that the processing of your personal data is not in compliance with the law, including the GDPR, you can file a complaint with the supervisory authority (https://www.gegevensbeschermingsautoriteit.be/).

7.6. Right to Object to Processing:

You always have the right to object to processing for the purpose of direct marketing. Practically, you can do this by indicating “opt-out” in the emails, after which you will no longer receive direct marketing emails from us. However, we may still contact you regarding the execution of the agreement.

You also have the right to object to processing based on Article 6, paragraph 1, (e) or (f) of the GDPR.
